At Coolmine TC, we take our responsibility to protect your data seriously and will not collect any personal information about you on this website without your clear knowledge and permission. Any personal information which you volunteer to us will be treated strictly in accordance with the General Data Protection Regulation 2016/679, ePrivacy Regulation S.I. 336/2011 and the Data Protection Acts 1988-2018. Where data is submitted it will be used for the stated purpose and any reasonably incidental purposes only. This Privacy Notice provides you with information concerning our practices and procedures as they relate specifically to information we collect at this website or which you may provide to us in other ways. You can browse through most of our site without giving us any information about yourself. But sometimes we do need information to provide services that you request. By visiting this website, you are accepting the practices described herein.

What personal data is collected and how do we collect it?

It includes, but is not limited to; name, date of birth, address, phone number, email address, credit card details and a record of interactions with us. You may submit your personal data when, for instance, making a donation, applying for a job or requesting information or updates through our website. Personal data can also be collected when you submit a query or compliant, send us your feedback, register to fundraise or volunteer with us, enter a competition or complete a survey.

We do not collect any personal information about you unless you choose to provide it to us voluntarily. We define “personal information” as information that personally identifies you or allows us to contact you. Such information might include your phone number, name or email address. Generally, this information is requested when you are asked to register before subscribing to e-mail newsletters, completing an online survey, viewing resource information, or when requesting information about Coolmine TC services. If you encounter a screen or page on our website that requests information you do not want to share with us, do not enter the information and do not proceed with that screen or page.

In line with standard practice in marketing and fundraising, we may acquire data from third parties such as fundraising websites. These third parties will have undertaken measures to ensure they have obtained this data fairly from you and in compliance with Data Protection laws.

Coolmine TC collect and process your personal data for the following purposes:

  • to process payments, donations, fulfil online orders and confirm transactions
  • to alert you to updated information and other new services from Coolmine TC
  • to process your job or volunteer placement applications
  •  to respond to your queries and information requests
  •  to register your subscription to a mailing list(s) and eNewsletter(s)

Coolmine TC will process your personal data based on the following grounds:

  • Where it is necessary for the performance of a contract;
  • Where it is necessary for compliance with a legal obligation which we are subject;

  • Compliance with a legal or regulatory obligation that applies to us. (e.g., when we process a CHY3 form as part of the donation process – tax/revenue).

  • assess employee and volunteer applications and recruit employees and volunteers;

We will not sell, license, transmit or disclose your personal information outside of Coolmine TC or its affiliates without notice to you unless (1) you expressly authorise us to do so, (2) it is necessary to allow our service providers, representatives, or agents to provide services for or to us, (3) it is necessary to provide our products or services to you, (4) it is necessary to protect and defend the rights or property of Coolmine TC (5) it is necessary to act in urgent circumstances to protect the personal safety of Coolmine TC customers, visitors to Coolmine TC’s website or the public, or (6) otherwise as we are required or permitted by law.

Children

This website is not intended for children, and we do not knowingly collect data relating to children. If you are under 16, please ensure that you have a parent or guardian’s permission before providing Coolmine TC with any personal data. If you provide us with personal data we will assume that you are over 16 and that you understand the terms of this Privacy Statement, unless you inform us otherwise.

International data transfers

The data that we collect from you may be transferred to a third party who stores the data outside the European Economic Area (“EEA”). This only occurs where there is no alternative and CooImine is satisfied that the third party treat the personal data to the same safeguards as apply within the EEA. Examples of safeguards include an EU adequacy agreement, a standard contractual clause (model clause) which is referred to as an SCC.

Promotional Emails

We may send you e-mails with promotional offers, special event information, newsletters or other messages. If you would no longer like to receive such e-mails from us, please follow the “Unsubscribe” instructions at the end of each email or contact us at info@coolmine.ie. Your e-mail address will be removed from our marketing list. Please allow us a reasonable period of time in order to satisfy your request, as some promotions may already be in process. We commit to removing all personal data within 30 days in line with the GDPR.

Email

We appreciate your questions and comments about our website and services and welcome your email messages to mailboxes listed on our website. We will share your messages with those within our organisation who may be able to address the issues contained in your message. We will keep a copy of your message until we have had an opportunity to address your concerns. We may archive your message for a certain period of time or discard it, but your email message will not be used for any other purpose.

We restrict access to personal information collected about you at our website to our employees, our affiliates’ employees, those who are otherwise specified in this Policy, or others who need to know that information to provide services to you or in the course of conducting our business operations or activities. CCTV

We would like you to note that CCTV monitoring is present in locations across Coolmine Services. Should you attend any of our sites where we have CCTV monitoring in place to ensure the safety & security of our service users, staff & visitors, & to protect the security of our premises. There is appropriate signage in place positioned close to the CCTV cameras. This CCTV system is managed in accordance with our CCTV Policy.

Governing Laws & Jurisdiction

This legal policy and all issues regarding this website are governed exclusively by Irish law and are subject to the exclusive jurisdiction of the Irish courts.
